SKC’s Skilled Volunteering Service
Expectations for volunteers and organisations
Stronger Kent Communities makes connections between volunteers and organisations with skilled volunteering needs.
The following outlines SKC’s service and expectations for organisations and volunteers engaging with our service.
- SKC’s role is to introduce potential volunteers to organisations.
- Our service is not for finding paid employees or paid work.
- Volunteer roles and tasks should not replace paid work.
- Volunteering tasks and roles that SKC aim to match with volunteers are from information supplied by organisations.
- A volunteer expressing an interest in a task or role does not mean they are making a commitment. It is always OK for either side to decide not to go ahead.
- Introductions are made between the organisation and potential volunteer – for both parties to learn more and decide if it is a good fit.
- Once individuals are introduced to an organisation with the aim of volunteering, they become the organisation’s responsibility in the same way any other volunteer would be.
- SKC does not take any responsibility for any work / output undertaken by a volunteer for an organisation.
- SKC will ask organisations and volunteers to tell us what is happening with matches and how the volunteering is progressing – this helps us record success and improve volunteers’ and organisations’ experience and develop our service.
- Whilst SKC takes all reasonable endeavours to ensure it is the case, SKC does not guarantee that any organisation will keep confidential any volunteer information or data provided by SKC to them.
When a volunteer is matched with an organisation’s volunteering task / role, SKC is keen to ensure that both parties have positive and rewarding volunteering experiences. The following expectations are not legally binding but set out how SKC believe volunteers and organisations should treat and interact with one another.
Both parties should:
- aim to reply to correspondence in good time (within 5 working days) to SKC and each other.
- if volunteering needs (organisation) or volunteering availability (volunteer) change, then all relevant parties should be informed.
- provide accurate information about your volunteering needs, so potential volunteers can make an informed decision about whether they have the required skills and are interested in the volunteering task / role.
- have volunteer policies in place to ensure you are engaging with volunteers in a responsible manner (VOLUNTEER MANAGEMENT HANDBOOK)
- get references / check credentials for volunteers as per your normal procedures. SKC does not check volunteer references.
- set out the terms of the relationship with a volunteer, based on reasonable expectations rather than obligations.
- give the volunteer an induction to your organisation, staff and the volunteering role and provide any necessary training to undertake the volunteering role.
- define appropriate standards of your services, communicate them to the volunteer and encourage and support volunteers to achieve and maintain your standards of service as part of their voluntary work with you.
- provide adequate training and feedback in support of your health and safety policy.
- provide adequate insurance cover for volunteers whilst undertaking voluntary work with your organisation (LINK TO FOLLOW)
- ensure that all volunteers are dealt with in accordance with your equal opportunities policy.
- provide ongoing supervision and support sufficient to the requirements of the role.
- reimburse volunteers for out-of-pocket expenses.
- endeavour to resolve, in a fair and just manner, any problems, grievances or difficulties which may be encountered by volunteers.
- in the event of an unresolved problem, offer an opportunity to discuss the issues.
- ask questions and research the organisation you are thinking about volunteering with, especially before becoming a trustee.
- provide referees, as agreed, who may be contacted, and agree to a DBS check being carried out where necessary.
- perform your volunteering role to the best of your ability and in line with the organisation’s policies and procedures.
- maintain the confidential information of the organisation and of its clients.
- meet the time commitments and standards required for the volunteering role, other than in exceptional circumstances, and provide reasonable notice so that alternative arrangements can be made.
